Managing D&B Retail

How to configure Magento, prepare an iPad, take an order and resolve a payment problem.

Updated 13 October 2026 · Magento Admin and app configuration for Daylesford and Bamford.

This guide describes the current staging / Adyen TEST setup. Use the test terminal and test cards. The current app requires TEST mode; live trading needs a separately approved production setup.

This file is self-contained. Open it in a browser; use the browser’s Print command to print or save as PDF.

1. Who manages what

WhereWhat you manage
Magento administratorEnable ordering, app menu categories, approved shops, email receipts, products, stock, delivery rules and order records.
Operator on each iPadChoose the brand, shop/location and Staff ID; pair the reader; set search suggestions and layout; take and recover orders.
Payment administratorAdyen merchant credentials, terminal assignment, internet connection, payment status and webhook delivery.

Sign in to Magento Admin for the brand you are managing, then follow the menu paths in this guide.

Magento settings are central. App preferences are saved on that iPad/browser. Repeat device setup for every iPad. Clearing browser data can remove settings and checkout recovery information.

Shop/location ID identifies the physical shop credited with the sale. Staff ID identifies the operator. Terminal ID identifies the card reader. Magento store view determines the catalogue, currency and configuration. These are separate values.

2. Magento: enable the app & categories

Stores → Configuration → Develo → In-Person Ordering App

  1. Choose the correct Scope at the top. For Bamford US, select US store MAIN, not the deprecated US store view.
  2. Open General. Set Enable In-Person Ordering to Yes.
  3. If a field is inherited, clear Use Website or Use Default only when you intend to override it at this scope.
  4. Choose Save Config. If Magento requests a configuration-cache refresh, ask the administrator to complete it. Reopen the app after the change, when no payment is in progress.

Set Enable In-Person Ordering = No at the relevant scope to stop new app orders. This does not cancel an existing order or reverse a payment already started.

Choose the category buttons in the app

  1. Open Categories → App Categories → Add categories.
  2. Expand the category tree and select the category names you want to include.
  3. Drag the selected rows by their handles to change their order. Use × to remove a menu entry.
  4. Select Save Config, then reopen the app to check the menu.

This controls navigation. Removing a menu entry does not delete the category or prevent its products appearing in search. Manage the actual products and category assignments under Catalog → Products / Categories.

3. Magento: shops and location IDs

Stores → Configuration → Sales → In-person Retail Stores → Retail Store Attribution

  1. Select the appropriate store-view scope.
  2. Under Available Retail Stores, select Add retail store.
  3. Enter the business-approved Store ID and a recognisable Store name (up to 128 characters). IDs allow letters, numbers, hyphens and underscores, up to 64 characters. Each ID must be unique, ignoring case.
  4. Add any other locations and select Save Config.
  5. On each iPad, open Settings → Store. Refresh the list, select Store ID (shop/location), then tap Done.
Adding shops in Magento does not automatically assign an iPad. Select the location on every device. Not assigned is allowed, but those sales have no shop attribution.

Keep IDs permanent and never reuse an old ID for another shop. Renaming or removing a shop does not rewrite historical orders. A removed location can no longer be selected for new orders.

If the list is empty, add the locations at the correct Magento scope. If the app says setup is unavailable, ask the administrator to check the retail-store module and access permissions. In the latest app, the field stays visible but is disabled when no choices are available.

4. Magento: receipts and email

Stores → Configuration → Develo → In-Person Ordering App → E-Receipt

SettingWhat to do
Send E-ReceiptSet to Yes to allow receipts. A receipt is sent only when the customer also selected Yes in the app.
E-Receipt TemplateSelect the approved template. The supplied option is In-Person Order E-Receipt (Default).
Sent FromChoose the approved sender identity, such as Sales Representative. Its address is managed in Magento’s Store Email Addresses configuration.
Send Copy ToOptional approved internal recipients, separated by commas. Leave blank for no copies.

Save at the correct scope using Save Config. The customer’s No, or an unrecorded choice, prevents the e-receipt and its configured copies. Standard order confirmation is suppressed for these Trunk Show orders.

In an order’s Order Source panel, check Email Receipt Requested and E-Receipt. Use Resend E-Receipt only when the customer requested it and your role has permission. The button does not override consent or the master switch.

Email receipt, newsletter subscription and shipment notifications are different. The newsletter question appears after a successful order. These receipt settings do not control the separate shipment or invoice emails.

5. Magento: payment setup

Stores → Configuration → Sales → Payment Methods → Adyen Payments

Payment administrators should check the following at the correct store scope. Staff should not change credentials while troubleshooting a customer’s payment.

SectionCheck
Initial SetupEnvironment must match the current TEST app. Test API key and Merchant account must be the approved matching credentials. Check Charged currency supports the cart’s displayed currency: USD for Bamford, GBP for Daylesford.
Accepting payments → In-person paymentsEnabled = Yes. The reviewed Bamford setup uses Order Creation Time = After payment and Capture Delay = Immediate. Keep the agreed configuration; order creation and capture are separate settings.
Terminal Store IDThis is an Adyen terminal-store identifier, if the payment configuration uses one. It is not the app’s shop/location reporting ID and not the terminal’s serial number.
Webhook configurationThe Adyen webhook must reach the Magento installation that owns the order. Match the Webhook username, Webhook password and HMAC key test with the approved Adyen configuration. Verify successful delivery in Adyen.

Some Adyen module versions have separate online and POS API-key/merchant fields. Use each integration’s correct credentials; do not assume the online key and POS key are identical. Never enter an API key into the iPad app.

A powered-on terminal must also have internet access and be assigned to the configured Adyen merchant. Pairing in the app cannot repair Wi-Fi or change the terminal’s merchant assignment.

A Magento order number is not proof of a completed payment. Confirm payment status. If Magento remains in Payment Review, investigate Adyen authorisation and webhook processing before changing the order or taking another payment.

6. Magento: products and delivery

Products and content

Use Catalog → Products to manage names, images, prices, stock and product options in the correct website/store view. Search and listing data is supplied through Klevu, so catalogue changes must reach the search index before appearing in the app.

For Daylesford, the quick-view Details accordion uses the product’s more_information attribute. Update that field to change the hamper contents. Details starts closed; embedded hyperlinks are displayed as text so staff stay in the app.

Delivery charges and nominated dates

The app uses Magento’s available home-delivery methods and prices. Manage carrier/rate configuration under Stores → Configuration → Sales → Delivery Methods. Check the customer’s destination and basket when investigating a missing rate.

Daylesford delivery dates come from the existing product and delivery rules. Its Stores → Configuration → Develo → Delivery Core settings include Calendar Rules and Excluded Dates. Cut-offs, product schedules and available dates are calculated by Magento. These shared rules also affect the normal website checkout.

The “Shipping” group inside In-Person Ordering App is legacy free-shipping configuration. Do not use it to set the current home-delivery charge. The home-delivery integration excludes that legacy carrier.

On the app’s Review step, staff choose the shipping method and a Delivery date whenever Magento requires one. An empty calendar needs investigation; staff should not bypass it or promise a date that is unavailable.

7. App: iPad and settings

Install on the iPad Home Screen

  1. Open the retail app in Safari.
  2. Tap Share → Add to Home Screen. Tap More first if needed.
  3. Turn on Open as Web App if offered, then tap Add.
  4. Launch the D&B Retail icon for the full-screen view without Safari’s address bar. Check device settings in this installed view before use.

Open the settings icon at the top right of the app. Its accessibility label is Configure payment terminal.

SettingHow to use itHow it saves

Tap Done after changing Staff ID or Store ID. Closing with × does not save those draft fields. Switching brands or changing a reader can be blocked while a payment is unresolved.

8. App: pair a card reader

  1. Power on the reader and confirm it has internet access.
  2. Select the correct brand in Settings. Under Card reader, choose Pair or Manage.
  3. Enter a recognisable iPad / station name.
  4. Select the reader from Connected terminals. Tap Refresh terminals if needed. Alternatively choose its Terminal model and enter the Terminal serial number, preserving every leading zero.
  5. Tap Test. Resolve any error, then tap Save, which checks the connection again before saving.

AMS1 contains the digit 1, not the letter I. Use the actual model shown on your terminal; other models are available in the dropdown.

Test and Save do not take a payment. They check the reader against Magento’s connected terminal list and TEST configuration. A saved pairing or green indicator does not continuously monitor Wi-Fi.

The app keeps one saved reader pairing, associated with a brand. Switching brands may show No terminal paired; saving another pairing replaces the previous one. Recheck the reader before taking payment.

Remove pairing forgets the reader on this device. It does not remove the terminal from Adyen. Never remove a pairing to bypass an unresolved payment; use the recovery procedure.

9. Take an order

  1. Build the selection. Search or browse categories. Open quick view, select required size/variant options and add products. Use Details for Daylesford hamper contents.
  2. Check the basket. Open Your selection. Review products, quantities and prices, then choose Continue to shipping. Let the basket finish synchronising.
  3. Enter shipping details. Complete email, first and last name, phone and delivery address. Use Find address or Enter manually. Bamford US addresses require a state. Correct any highlighted missing fields.
  4. Continue to payment. On Review, check Ship to, choose the Shipping method and select a Delivery date if shown as required.
  5. Ask about the receipt. Select Yes or No for Email a receipt to …? Check the email address.
  6. Check and pay. Verify the final amount, currency and reader. Tap Pay … on … once. Follow the terminal prompts and keep the app open. Use the reader’s cancel control if the customer cancels.
  7. Confirm the result. Wait for the app’s Payment approved / Order placed confirmation. Note the order number and delivery date. If the outcome is unclear, follow section 11.
  8. Finish. Ask the separate newsletter question if shown. Receipt “requested” does not guarantee inbox delivery. Choose Start new sale for the next customer.

Shipping and taxes can change the basket total. Check the final review amount with the customer: Daylesford £ / GBP; Bamford $ / USD. Stop if the currency is wrong.

10. Find and manage orders

Magento → Sales → Orders

  1. Search by the order number from the app. Use Filters for date, purchase point and status when needed.
  2. Open Columns and enable Order Channel, Retail Store ID and Retail Store if absent from your saved grid view.
  3. Filter Order Channel = Trunk Show to find current app orders. Filter by Retail Store ID for a physical location.
  4. Open the order and check items, purchased currency/total, address, delivery method/date and payment information. Check the Order Source and In-person Retail Store panels.
  5. Use the grid’s Export menu for the filtered report. Shop ID and name are included. Use the permanent ID to group location sales.
Order informationMeaning
Order SourceChannel, Terminal ID, Staff ID, customer receipt choice and e-receipt status.
In-person Retail StoreThe shop ID/name saved with that order; shown when a shop was assigned.
Payment information / transactionsUse the payment reference and status to reconcile with Adyen. Do not rely on the order number alone.
E-ReceiptSent, Not requested or Not yet sent. Resend only using the permitted Resend E-Receipt action.

Current reporting note: both brands currently send the channel Trunk Show. There is no app selector for “Instore”. Use the Magento installation/store view and Retail Store ID to distinguish sales; do not assume Daylesford already reports an Instore channel.

Fulfilment, shipments, invoices and refunds remain in your existing Magento operations process. Check the payment before refunding or cancelling; the iPad is not a refund tool. These modules do not provide an admin editor for changing a completed order’s shop or channel.

11. Payment problems and recovery

An error is not proof that no payment was taken. Keep the basket and recovery details. Do not clear browser data, start a duplicate order or repeatedly press Pay while the outcome is unknown.
What you seeWhat to do
No connected terminals / reader unavailableCheck power, Wi-Fi and Adyen connection/merchant assignment. In Settings use Refresh terminals and Test. Fix the connection before Pay.
Payment in progressFollow the reader prompts and wait. Cancel on the reader if necessary, then let the app confirm the result.
Card refused, cancelled or errorRead the reader/app message. If the app clearly permits another attempt, follow that action. If the outcome remains unknown or locked, complete the checks below first. A generic error may not reveal the bank’s detailed reason.
Unknown / no Magento order number / connection lostIf an order number is already known, choose Check payment status. Otherwise find the matching Magento order, enter its number in Magento order number, then check. This does not charge again. If no order exists, use the checked recovery procedure below; the status button is disabled until an order number is available.
Payment approved but order unresolvedAsk the administrator to reconcile the existing payment and order using the reference. Do not retry payment.
Magento “Payment Review”Check authorisation and webhook delivery/processing with the payment administrator. Do not force a paid status or assume the customer needs to pay again.
Change terminal is blocked after failureResolve the existing attempt first. Once the checks below are satisfied, use Release checked checkout and change terminal.

Retry while keeping the basket

  1. Have the administrator check Magento and Adyen. Confirm the terminal request has ended, no payment was authorised, and no order needs completing.
  2. Only then tick the app’s confirmation that those checks have been completed.
  3. Choose Retry terminal payment. Items, delivery details and receipt choice are retained. The app rechecks the basket and total; changed details must be reviewed before paying.
  4. To edit the checkout first instead, expand Release a checkout after checking Magento and Adyen and choose Release checked checkout. This keeps the basket and returns to shipping without starting another payment.

Capture useful support information

Open Payment diagnostics → Copy payment diagnostics. Send it to your authorised support team with the brand, time, amount/currency, what the terminal displayed, and any Magento order number or Adyen payment reference. Do not include API keys, passwords or card details.

12. Daily checklist & common fixes

ProblemFirst check
Settings missing in MagentoAsk the administrator to check module deployment and your role permissions: In-Person Ordering App Section, In-person Retail Stores and, if needed, Resend In-Person E-Receipt.
App shows old settings/layoutOnce no payment is active or unresolved, reload/reopen the app. A tab left open before an update can keep the old interface. Do not clear storage as a routine fix.
Missing product or categoryCheck Magento scope, active product/category assignments, stock and Klevu indexing. App menu visibility does not restrict search.
No delivery option/dateCheck address/postcode, product delivery rules and configured rates/calendar. Do not substitute free shipping or an unavailable date.
Receipt not receivedCheck recorded choice, email address, master switch and order receipt status. Then check spam/delivery with the administrator; resend only when permitted.
